The assistant’s role is to provide administrative support to the Project and Facility Management team, to ensure the quality of information and documents presented, and to fully understand all components relating to project management.

This includes defining and applying a documentation methodology, carrying out a follow-up of budgets and data entry (invoices, order forms, notices of change, etc.), producing required documents for various requests for proposals (on Microsoft Word and Excel), writing of minutes from various meetings, reviewing the documents sent to clients as well as managing the planning of deadlines for each ongoing project.

The person holding this position must ensure the quality of produced documents regarding content as well as presentation, which requires a high level of thoroughness and precision in his/her working method (conception, correction, revision, proofreading, etc.). This person possesses interpersonal abilities allowing professional communication, whether with suppliers or clients.



  • Follow-up of the documentation system in Access for Devencore Project Management Services database files;
  • Prepare preliminary analyses and carry out data entry of order forms, invoices, notices of change, etc.;
  • Participate in the drafting of requests for proposals and carry out the administration of the production calendar in collaboration with project managers;
  • Draft the project advancement and invoicing statuses when required;
  • Bring assistance to project managers;
  • Carry out administrative support tasks (expense accounts, writing reports, create presentation concepts, revise documents including their layout, etc.).



  • Excellent comprehension of IT notions is essential (tech-savvy); as well as an outstanding grasp of Microsoft Office (MS Project knowledge an asset);
  • Full mastery of both official languages (both spoken and written), with perfect grammar;
  • Meticulousness, thoroughness, and proven analytical skills;
  • Ability to understand the client’s needs and an approach directed toward results and the satisfaction of the client;
  • Ability to work in an autonomous and time-efficient fashion;
  • Skilled in prioritizing and managing stress while maintaining an attention to detail;
  • Ability to work on many projects at a time with a team;
  • Minimum of eight (8) years experience as an Administrative Assistant;
  • Knowledge in the fields of construction and office space planning is an asset;
  • Experience working for a project or real estate management firm, or a design or engineering firm is an asset.
